Reimbursement by the health insurance company - Germany

In Germany, the cost reimbursement procedure follows a strict, fixed sequence, compliance with which is a prerequisite for the approval of reimbursement. The application for reimbursement is always submitted by the patient to the health insurance company. Our clinic issues all the necessary documents and hands them over to the patient. This ensures that the reimbursement is transparent and is paid directly to you in full.

Station 1

1. first appointment - required information

Please bring the following documents to the first consultation appointment:

  • e-card / European Health Insurance Card
  • Insurance number
  • Name of the health insurance company

2. which documents do we issue?

Our clinic produces the following documents in German:

  • Treatment and cost plan (treatment plan and cost estimate in one document)
  • after completion of the treatment, a personal, detailed invoice for the services performed; at the end, a total invoice is issued
  • a medical justification if required

3. mandatory prior submission

In Germany, the cost reimbursement procedure follows a binding sequence that must be followed. The first step is to attend an initial consultation at our clinic, where you will receive the treatment and cost plan as well as the cost estimate. These documents must be submitted by the patient to the health insurance company before the start of treatment. The processing time is usually at least 3 weeks. Treatment may only be started after approval by the health insurance company. In the event of rejection, the treatment cannot be reimbursed. Important: If there is no previously approved treatment and cost plan or if the treatment is started before approval, the health insurance company may refuse to reimburse the costs.

4. invoicing during the treatment

As soon as the treatment and cost plan has been approved and treatment begins:

  • an invoice is issued for each treatment appointment
  • the invoices are submitted by the patient to the health insurance company
  • In certain cases, the health insurance company may also request panoramic X-rays

5 What benefits are reimbursed in Germany?

  • Prosthetic treatments: usually with a fixed allowance
  • Basic treatments: to a limited extent (e.g. oral hygiene, panoramic x-rays, fillings, etc.)
  • Implants: generally no reimbursement, but partially possible depending on the health insurance company and the individual insurance tariff

The amount of reimbursement is determined on a percentage basis and depends on the regulations of the respective health insurance company.

6. additional document requirements

German health insurance companies can request additional medical forms or documents. These are given to the patient, who then forwards them to us. Once completed, we send the documents back to the patient so that they can submit them to their health insurance company. Our clinic is not allowed to be in direct contact with foreign health insurance companies. Communication takes place exclusively between the patient and the health insurance company. This guarantees complete transparency and ensures that the approved reimbursement amount is paid directly to you without any deductions or commissions.

Payment of the reimbursement

The costs are reimbursed after the entire treatment has been completed. Our clinic issues partial invoices during the treatment and an additional total invoice at the end, which confirms the completion of the treatment.

Important notes

  • If treatment is started without prior authorization, the health insurance company may refuse to reimburse the costs.
  • We cannot deviate from the approved treatment and cost plan at the request of the health insurance company; we only accept responsibility for medically indicated treatments.
  • Impressions and digital scans cannot be handed over, even if the health insurance company requests them.
  • The health insurance company may refuse to reimburse the costs of treatments that have already been discounted.

Payment in installments and terms of payment

Our payment system is based on the treatments actually carried out. After receiving the cost estimate, the total treatment costs are broken down transparently and in installments in advance. The installments are allocated to the respective treatment dates. You therefore only pay for the services carried out on the day in question. This means that there are no hidden or subsequent costs.

Before starting treatment, you will receive a complete overview of:

  • the total cost of the treatment
  • the individual installments
  • and their respective due dates

It is not possible to pay the entire treatment amount in advance, as payment is always linked to the services actually performed. Payment is made on site in cash or by bank card.
